for associations & association management companies

One production partner for every meeting you manage.

Annual meetings, education sessions, chapter events and awards, produced by a team that has worked inside the association world. For AMCs, one partner across your whole portfolio, so every association you manage gets the same standard.

why associations call us

More meeting for the dues dollar.

Associations run lean, and every production dollar is a member's dollar. We don't own a warehouse of gear we need to rent you, so we spec what your meeting needs, work with the hotel's in-house AV or bring in the right vendors, and run it all from one desk.

for association management companies

Your whole portfolio, one desk.

When you manage several associations, every annual meeting shouldn't start from zero. We learn how your team works once, then bring the same producers and the same standard to every association you manage.

  • One point of contact across every association in your portfolio.

  • A playbook that carries over from one annual meeting to the next.

  • A producer your boards can trust senior-led, from the first call to the final session.

in their words

I have had the pleasure of working with Jason and the team and recommend his services highly. Jason is great to work with: he provides valuable knowledge and expertise, a lot of hand-holding and a superior end product. Jason also looks beyond the project at hand by setting up and creating opportunities for the future. I have so appreciated Jason's insight, good humor and guidance throughout each project we have worked on together.

green light review · a free consultation with a producer

Engaging Big AV? Get a free review before you sign.

Big AV quotes are written by the company that sells the gear, the labor and the add-ons. We don't own a warehouse or rent equipment, so our only interest is the right show at a fair price. Send last year's plan or quote for your annual meeting, or just get on a call. A producer takes a look and tells you honestly whether we can do it better. If we don't think so, we'll say that too.

Association meeting questions.

Do you work with association management companies?

Yes. We work with AMCs across their portfolios, with one point of contact for every association they manage. We learn how your team works once, then bring the same producers and the same standard to each annual meeting, so no meeting starts from zero.

Our hotel contract was signed years ago and includes in-house AV. Can you still help?

Yes. Association hotel contracts are often signed years ahead, and we work within them. We can review the in-house AV proposal in detail, manage the in-house team, or bring in our own vendors where the contract allows and handle the venue's rules and fees. Either way, someone is on the association's side of the quote.

How can we lower AV costs for our annual meeting?

Start with the scope: match equipment and crew to what each session really needs, cut gear that sits idle most of the day, and check labor minimums and service charges. Compare in-house and outside options where your contract allows. A free Green Light Review of last year's quote will show you where the money went.

When should we involve a production partner in the meeting cycle?

Ideally before the hotel contract is signed, because that's where AV exclusivity, outside-vendor fees and labor rules get set for years ahead. If the contract is already in place, bring us in when the program starts taking shape, so the AV plan follows the sessions rather than the other way around.

Can members attend remotely?

Yes. We produce hybrid meetings where remote members get the same show as those in the venue, not a camera at the back. Members can watch the general sessions, attend selected education sessions and take part in Q&A online.

Can you record and stream education sessions?

Yes. We record and stream education sessions so members can attend from anywhere or watch later, and deliver organized recordings your team can load into your learning system. Accreditation and continuing-education requirements stay with your education team; we make sure the recordings support them.

Can you support dozens of concurrent education sessions?

Yes. We plan every session to one standard and run them all from one desk, with a technician or stage manager wherever a session needs one. Consistent setups, a clear schedule and one point of contact mean speakers get the same support in the general session and the smallest breakout.

Do you produce events outside New York?

Yes. We're based in New York and produce coast to coast and on four continents, with the same producer and the same desk wherever the project lands. See where we produce. Running regional meetings in several cities? See regional meeting tours.
