multi-city roadshows

Multi-city roadshow production: one show, every city.

We build the show once and take it on the road: the same staging, branding and run of show in every market, with vetted local crews and one senior-led team running point from the first stop to the last.

why it matters

The same show, in rooms that are nothing alike.

A new venue, a new crew and a new loading dock at every stop, and it still has to feel like one brand. Market to market and venue to venue, there are nuances that change the production.

We cover all of it: working with each venue in pre-production on layout and power, and building one run of show that drives the whole tour. Just as important, we take care of your presenters and executives on the road, so they arrive ready at every stop and leave a lasting impression.

how it works

How a roadshow comes together.

Every tour is different, but the work happens in the same order.

  1. 01

    Route and venues

Markets, dates and venues set together, with travel time and load-in windows built in.

  2. 02

    Design once

Staging, branding and run of show designed to work in every room on the list, not just the first one.

  3. 03

    Advance every stop

Layout, power, labor rules and in-house AV confirmed with each venue before we arrive.

  4. 04

    On the road

The same producer and run of show at every stop, with local crews briefed on the same plan.

  5. 05

    Wrap

Gear home, the budget reconciled stop by stop, and a recap of the tour if you want one.

what drives the budget

What shapes the cost of a roadshow.

The design, scenic and run of show are built once, so the stops after the first usually cost less than the first. These are the things that move the number most.

  • Number of stops and the distance between them. More cities spread the design cost; longer jumps add freight and travel days.
  • The room at each stop. Audience size and venue type decide the screens, audio and labor each city needs.
  • What travels and what is sourced locally. Signature scenic and branding go in road cases; standard gear often costs less to source in each market.
  • Venue rules. In-house AV requirements and union labor vary by city, so we price them during the advance, not on show day.
  • Team travel. Our lead producers travel with the show. That cost sits in the budget from the start.
  • Content. A stream at each stop, or a recap of the whole tour, is priced as its own line.

on the road

SCORE's 60th Anniversary Pitch Competition.

For SCORE's 60th anniversary, we scaled the organization's local pitch competitions into a fully produced, four-city roadshow: Philadelphia, Des Moines, Los Angeles and Houston.

In each market, 10 entrepreneurs pitched a panel of independent judges for a share of more than $30,000 in prizes. We developed the scenic concept, found the venues, handled venue logistics and AV, and built a run of show that showcased each local market and gave the judges time to deliberate while the audience stayed engaged. We ran show and stage management, produced all the branding and hosted a mixer for about 200 guests in every city.

We've also taken a roadshow from Toronto to Washington, DC, New York, Chicago and San Francisco.

Big AV quotes are written by the company that sells the gear, the labor and the add-ons. We don't own a warehouse or rent equipment, so our only interest is the right show at a fair price. Send the plan or last year's quote for your roadshow, or just get on a call. A producer takes a look and tells you honestly whether we can do it better. If we don't think so, we'll say that too.

Roadshow questions.

How do you keep a roadshow consistent from city to city?

One plan and one team. We build the show once (staging, branding and run of show), and the same senior producer runs point at every stop. Local crews are briefed on that plan, and we advance every venue on layout, power and load-in before we arrive, so each city gets the same show.

Do you bring your own crew to every city?

It depends on the show. Our lead producers always travel with it, and we build the rest of the crew around each market.

What kinds of roadshows do you produce?

Sales kickoffs taken to regional teams, product launches and customer roadshows, partner and recruiting tours, investor days and annual meetings held in more than one city, association regional meetings and brand tours. If it is the same show in more than one place, it is a roadshow.

What does a multi-city roadshow cost?

It depends on the number of stops, the size of each room, what travels versus what is sourced locally, and how far apart the cities are. Because the design is built once, stops after the first usually cost less. Send us your city list, dates and audience size, and in a free consultation a producer will give you a ballpark and guidance on where the money should go.

Do you ship equipment from city to city or rent locally?

Usually a mix. The pieces that make the show look like itself, such as scenic, branding and specialty items, travel in road cases. Standard audio, lighting, screens and labor are often better sourced in each market. We make that call piece by piece and show you the trade-off in the budget.

How far ahead should we plan a multi-city roadshow?

As early as you can once the markets and dates are set. Venues and crews in popular cities book up, especially in Spring and Fall, so locking the route early gives you the best rooms and rates.

Can you produce roadshows outside the U.S.?

Yes. Beyond cities across the U.S., we've produced in Toronto, London and São Paulo, and we work with production partners who can support most major markets. See where we produce.

Can you add a live stream or video to each stop?

Yes. We can stream each stop, capture content in every city and cut a recap or sizzle that tells the story of the whole tour. We shoot as well as we stage.

How do you handle union venues and in-house AV rules?

Every venue has its own labor rules, in-house AV requirements and load-in windows. We advance each stop in pre-production, so those are known and priced before we arrive.

Can each stop be tailored to its market?

Yes. We build the run of show with slots for local speakers, honorees, sponsors and content, so each city feels like its own event while the show stays consistent.

How close together can the stops be?

It depends on the distance and the size of the set. A lighter show can run on back-to-back days; a bigger build usually needs a travel and load-in day between stops. We route it with you so the schedule is realistic.

What do you need from us to get started?

A city list or region, dates or a window, the expected audience at each stop and what the tour needs to accomplish. Last year’s budget or quote helps if you have one, but a rough idea is enough to start.
